The role of the Personal Assistant / Office Manager is to support RMs with coverage of their LP base so that the RM can focus on converting opportunities into tickets, and lead on the day-to-day office management within the new Amsterdam office. Coverage Co-ordinator responsibilities include co-ordination of interactions between RMs, deal teams, GPs, and LPs and sharing information. The ideal candidate will have naturally high attention to detail and approach all interactions (both internal and external) with professionalism and maturity. What you’ll be doing

  • Organise LP / GP meetings with clients for European LPs, maintaining good relationships
  • Organise LP only roadshows for relevant coverage team members adhering to internal travel policies
  • Coordinate all related travel and logistics, prioritising diary conflicts
  • Office management for the Amsterdam office, including on-the-ground IT and supplier management
  • Heavy diary management for the Amsterdam team members including PA responsibilities
  • Provide a warm, professional environment for any external clients and guests
  • Share best practices with broader CovCo team (NYC, HK, and London)
  • Use own initiative when piecing together a roadshow to ensure best use of GP’s time
  • Manage client roadshows for clients from start to finish including the App content
  • Responsible for maintaining notes on DealCloud and CRM systems
  • Day to day management of the office, liaising closely with functional heads in Head Office
  • First point of contact with all local suppliers (including IT support, property etc.)
  • General PA responsibilities as the team starts to build, and where efficiencies could be made through local support

Who you are

The ideal candidate will be organized, self-starting, socially confident and have good experience in diary management/roadshow coordination and running a small office. Furthermore, you can recognize yourself in the following:

  • Professional attitude and approach;
  • Sound judgment, including the ability to anticipate needs;
  • Extremely organized and very strong attention to detail;
  • Ability to multi-task and prioritize across multiple roadshows and projects;
  • A “no task is too small” attitude;
  • Has a one-team approach and can work in a team setting and independently;
  • Strong communication and collaboration skills as the candidate will need to coordinate with clients and team members in Europe and North America;
  • Ability to think on feet as situations are often fluid/may change with limited notice;
  • Flexibility to go above and beyond when necessary;
  • Proficiency in Microsoft Office, knowledge of CRM systems;
  • Minimum 5 years experience in the financial services sector;
  • Proven track record in organizing an office, and managing road shows.
